SHIPPING AND RECEIVING OPTIONS
Paris Las Vegas Package Policy & Prices
Freeman Convention Services – Advance Freight Services Information and Forms
There are several different shipping options for getting your materials to and from the NCBJ Conference. Each has different pricing, deadlines and guidelines. We cannot advise as to the best option for your particular items to be shipped, but here is some information to help you decide.
Option # 1 – Inbound Freight to ADVANCE FREIGHT WAREHOUSE
Exhibitors with several boxes or anything big or heavy, may ship direct to the advance freight handler, and consign their freight to Freeman. The items can arrive beginning September 11, 2017. Materials arriving after October 3, 2017 is subject to an additional after deadline fee. In addition to standard Freeman materials handling fees, overtime fees will be assessed for any materials handled outside of their standard business hours (8 am to 5 pm Monday through Friday).
Please note that the minimum Warehouse Shipment is based on 200 pound minimum, with prices beginning at $201. Show Site Shipment has an identical 200 pound minimum cost basis, with prices starting at $190.50. If your boxes arrive in multiple shipments, you are charged the minimum on EACH shipment. Each separate “delivery” will be charged at the minimum rate based on a minimum weight of 200 pounds (i.e. 5 packages of 40-pounds each sent in one shipment will cost $201 total. The same 5 packages sent separately will cost 5 x $201, or $1,005 total). Additional fees will apply for both incoming and outbound freight for special handling (including all Federal Express, UPS, and DHL deliveries), which include uncrated or unwrapped parcels, and items handled after normal business hours (8 am to 5 pm Monday through Friday).
Small packages (maximum weight 30 pounds) fall outside these minimum classifications, and are assessed a straight fee of $45 per “shipment.” (e.g. If you send 3 boxes in one shipment the cost is $45. If the same 3 boxes are sent individually, the cost will be $45 x 3 = $135.) Please review Freeman’s Exhibitor Material Handling Rates for specific details on charges and package definitions.

Option # 3 – Inbound Freight to PARIS LAS VEGAS
You can ship direct to the hotel, but they have VERY limited storage. If the hotel receives any freight addressed to an Exhibiting company, a method of payment for the receipt, handling, and storage fees will be required before shipments will be released.
Arriving Guests Small Packages and Envelopes should arrive no sooner than five (5) days prior to your arrival. Anything received before this time frame may incur DAILY storage fees PER ITEM, or be refused by the hotel. In addition to possible storage charges, the hotel charges a package handling service fee ranging from a fee of $5 (envelope weighing less than 2 pounds) to $80 (parcels up to 100 pounds) for EVERY ITEM received. Items weighing more than 100 pounds are charged at $0.80 per pound. Pallets, skids or crates are charged at $400 each, and must be scheduled in advance. Additional charges for forklift use will apply.
The Hotel Shipping & Receiving staff are not permitted to pick up or deliver any items to the exhibits areas at any time during the conference (from set–up through tear down). If you need assistance with package delivery, contact the Package Room, as their staff is available to deliver your items to the exhibit area. Exhibitors may use a small wheeled cart.

_____ of _____ (e.g. 1 of 10)
Option # 4 – The Suitcase
NCBJ Exhibitors and AIRA reception sponsors may find it simpler and less expensive to put their small amount of literature and promotional giveaways in a standard wheeled suitcase, pay the extra airline baggage fee for an extra piece of luggage and just arrive with two suitcases.
Option # 5 – Outbound Freight with Paris Las Vegas
Outbound packages may be sent through the Hotel Shipping & Receiving Department or the Paris Las Vegas Business Center, located along Le Boulevard Shops between Le Necessities and the Bally’s / Paris Self-Parking garage escalators. The Business Center is open Monday through Friday 7 am to 7 pm, and Saturday and Sunday from 8 am to 5 pm. Their telephone is (702) 946-4263. As the Business Center is owned by the Paris Las Vegas, they will surcharge all packages at the Paris Las Vegas rates discussed previously. The exhibitor must bring their shipment to the Shipping & Receiving office during tear down. Proper shipping documents must accompany bills of lading matching the shipments so Hotel staff can account for shipment piece count. Shipments must be signed off and Hotel staff must obtain copies of shipment bills of lading and any other shipping documents needed.
Option # 6 – Outbound Freight with Freeman
Exhibitors may ship outbound through Freeman. Freeman must handle all exhibit materials that are boxed, labeled and ready for shipment through the back service entrance. There is no crate, box or pallet storage area at the hotel. Freeman removes these large items from the premises and must return the packing materials to your table. Please review the Freeman Exhibitor Information Packet [link to PDF] for full instructions and cost detail.
Option # 7 – Outbound Freight with Federal Express (offsite)
Exhibitors or conference attendees may want to use the FedEx Office Print & Ship Center [Link http://local.fedex.com/nv/las-vegas/office-5735/] that is located inside the Bellagio Hotel across the street from the Paris Las Vegas at 3600 Las Vegas Blvd South, Las Vegas, NV 89109; (702) 369-0828. Their hours are Monday through Friday 7 am to 6 pm, and Saturday and Sunday 8 am to 5 pm. You may use you own FedEx account number and there is a handling charge per shipment, with fees ranging from $7 to over $30, based on the weight of the package. Latest Ground pick up is 3 pm (Mon-Fri). Express packages are picked up Monday through Saturday, with latest drop off at 4 pm (Mon-Fri) or 2 pm (Sat). We cannot guarantee that the FedEx business center will accept shipments outside these times as they may not have room to store the waiting shipments.
Respect the work jurisdictions within the hotel:
The Paris Las Vegas is a union hotel with Teamsters having jurisdiction for much of the material handling. Any installations that affect fire codes must have prior approval of the Las Vegas Fire Marshall. The Fire Marshall will pre-approve the NCBJ exhibit areas plans and that approved plan limits any re-arrangement requests.
This summary is provided to make you aware of options and fees in general. Exhibitors are urged to study the Freeman and Paris Las Vegas information and confirm pricing and handling details directly with the service provider before utilizing any shipping services. Neither NCBJ nor JBS & Associates will be responsible for any decisions or costs associated with shipping based upon the summary.
